Most vendors promise "we'll migrate everything," then spend months in a painful back-and-forth when reality doesn't match the promise. We do the opposite: we tell you exactly what an automated migration can and cannot do — before you sign anything.

A truth no one else will put in writing

No vendor — not Loxo, not anyone — can automate 100% of a legacy ATS migration. Every database that has been used for years contains custom fields, free-text notes, duplicates, boolean search strings pasted into fields, and one-off customizations that only made sense to the person who created them. Software cannot reliably guess what unstructured, inconsistent data was supposed to mean.

Beyond the guarantee

Some businesses genuinely need work beyond the automated scope: custom field mapping, data restructuring, or a delta sync at cutover. Our Professional Services team does this work every week and does it well. It is simply never free — for anyone.

Professional Services — $350 / hour

Any request outside the included scope — before, during, or after migration — is a Professional Services engagement:

  • You tell us what you need; we return a written, hour-based estimate before any work begins.
  • Nothing is started, and nothing is billed, until you approve the estimate in writing.
  • The rate is fixed at $350/hour and applies uniformly. There are no waivers, discounts, or exceptions — this keeps the free migration free for everyone.
Before you sign

Your acknowledgment

We ask every customer to initial each migration statement as part of the order form. This protects you as much as it protects us: it means there is never a surprise, and everyone — your team and ours — is working from the same document. If any statement is unclear, ask us before signing. We'd rather lose a deal than gain an unhappy customer.

Why can't you just migrate everything?
Because "everything" in a legacy ATS includes years of custom fields, free-text data, duplicates, and one-off customizations that have no reliable automated mapping. Any vendor who says they migrate 100% of anything is either being vague on purpose or planning a very expensive services project they haven't told you about yet. We guarantee the industry-standard core — which is what runs your business — and we're upfront that the rest is custom work.
My old database is messy. Will Loxo clean it up during migration?
No — the migration moves your data as-is. Cleanup during migration would make the process slow, manual, and error-prone for everyone. The good news: once your data is inside Loxo, our Data Hygiene tools are built for exactly this, and Professional Services can take on larger restructuring projects at the standard rate.
What if something in the included scope didn't come across?
Then we fix it, free, as part of the guarantee. The included column is a commitment, not a best effort. That's the entire point of writing the scope down.
Can we negotiate the Professional Services rate or get a few free hours?
No — and this is a feature, not stubbornness. The $350/hour rate applies identically to every customer with no exceptions, which is what allows us to offer the automated migration free to everyone. The moment we make exceptions, the free migration stops being sustainable.
What happens if I ask for out-of-scope work after I'm a customer?
We'll point you back to this document — the one you initialed — and connect you with Professional Services for a written estimate. The scope you agreed to at signing is the scope that governs, which is exactly why we ask you to read it carefully now.
