Job Title: Real Estate Assistant


Location: REMOTE - You must be legally entitled to work in Canada or USA and physically in Canada or USA.


Start Date/Hours: Immediate start date, Monday – Friday, 9am – 5pm (occasional weekends if needed during high season).


Compensation: Please submit your hourly rate range


Status: Contractor

Duties and responsibilities include:

  • Administrative: Assist Lead Realtor with managing his schedule and reminders for appointments; prepare email correspondence, report updates, filing, Broker load MLS Listings - including writing the content for Client Remarks, Extras & Brokerage Remarks, Draft WebForms (Agreements of Purchase & Sale, Confirmation of Co-Operation, Amendments, Waivers, Notice of Fulfillments, Mutual Release, Schedules, Agreements to Lease, Registrants Disclosure etc.), write offers, prepare CMAs and listing package, Completing Trade Record Sheets, FINTRAC, WWR, Listing Agreements, Receipt of Funds,
  • Purchasing Transactions: Support purchasing clients with connecting them to the appropriate vendors, truck rental, lawyers etc. Help develop and provide services that assist buyers from the initial call right through to the offer process and closing,
  • Listing Transactions: Ensure all listings are ready for market including preparation of listing paperwork; coordinate with Clients re: timelines, showings, vendors, offers/open house dates etc.; Coordinate and book Vendors (photographer, sign installation, stager, window washer, cleaners, truck rentals etc.), investigate legal and zoning issues,
  • Team Support: Encourage team Realtors to submit their reports, provide support and direction to team as needed.
  • Out-of-Office work: Assist in picking up and dropping off feature sheets, lockboxes, etc when required. Assist with home walk-throughs as needed.


Nice-to-have experience:

§ Marketing Initiatives: Prepare feature sheets; just listed/just sold cards; ads, content write up for all ads, listings and feature sheets; upload all properties to social media channels and website; CRM/Database touchpoint management and communication,


Must-have qualifications:

  • Superior communications skills (written/verbal), particular emphasis on written skills
  • Graciously attend to all phone, email and in-person inquiries,
  • Extremely strong interpersonal and customer service skills,
  • Ability to multi-task and juggle many priorities with exceptional organizational skills
  • A thorough understanding of OREA forms and general/common office paperwork (appointment information forms, ordering signs, listing/BRA, lease packages) is considered an asset,
  • Own vehicle


Skills and Softwares:

  • Knowledge of Microsoft Office: Word, Excel and Outlook
  • Knowledge of Facebook, LinkedIn, Instagram, YouTube, and Twitter
  • TREB Stratus, MLS, WebForms/EasyOFFER, GeoWarehouse and MPAC
  • Dropbox
  • DocuSign
  • Nice-to-have: Adobe suite, Canva, IXACT Contact
